How we got 25 hours a week back (and kept coaching)

Running a basketball club in Copenhagen taught me one thing about admin: it never stops. Here's exactly what we automated and how.

I'm a basketball coach. That's the job.

But if you looked at my week two years ago, you'd think I ran an email business with a side hustle in basketball.

Every week: game reminders to parents. Payment follow-ups. Board updates. Grant deadlines. Training schedules. Gym bookings. And somewhere in there, actual coaching.

I counted once. 25 hours a week on admin. Every week. For a 53-member club where nobody gets paid to do any of it.

That's the thing about running a club, a forening, or a small business in Denmark. The admin doesn't care that you're also the coach, the manager, and the person who sets up the cones.

So I did something about it.

I'm not a developer. But I know Google. And Google Apps Script, which is built into every Google account for free, can automate almost anything that runs through Gmail and Calendar.

Six weeks of evenings. Six scripts. Here's what we built:

Morning Briefing

Every day at 6:30, an email hits my inbox. Calendar, flagged messages, open tasks, upcoming deadlines. I used to spend the first 30 minutes of every morning figuring out what the day looked like. Now I read it in 3 minutes over coffee.

Game Day Reminders

Parents get a reminder 24 hours before every game. Date, time, location, what to bring. Sent automatically. I haven't typed one of these in months.

Payment Tracking

Every MobilePay payment gets logged the moment it lands. Amount, date, member name, net after fees. I used to do this by hand in a spreadsheet every Sunday night.

Deadline Alerts

Any deadline I care about gets flagged at 7, 3, and 1 day out. Grant applications, gym booking windows, board meeting prep. Nothing slips anymore.

Weekly Board Digest

Every Monday, the board gets a one-page summary of the week. I didn't write it. It wrote itself.

Smart Reply Drafts

Incoming emails that need a response get a draft reply ready in my Gmail. I review and send. Two minutes instead of fifteen.


Total setup time: about 3 weeks of evenings. Cost: 0 kr. All of it runs inside our existing Google account. No new tools, no new logins. It's all in Gmail and Calendar.

The 25 hours dropped to maybe 2. The 2 hours that are left are things that actually need a human.
